We have been cooperating with a British company that provides services to exhibitors at international trade fairs for many years. This is an industry where logistics must be as precise as the stage plan – each delivery has a specific time, and the slightest delay can mean organisational disaster.
The challenge
This time, our partner approached us with an urgent enquiry in a critical situation. One of their customers – an exhibitor – had previously rejected our offer due to the cost, opting for a cheaper transport company. Unfortunately, the competition failed to meet their obligations, and the time to react was running out fast.
The order required the immediate deployment of two lorries with a GVW of less than 18 tonnes, equipped with lifts. The route ran from the Birmingham area to Munich (approx. 1,280 km) and had to be completed in less than 50 hours, including the time it took for the vehicles to reach the loading point in the UK.
Solution
A quick analysis of available resources allowed us to find solution immediately.
One of the required lorries was already in the UK – that was the first stroke of luck. The second vehicle, located near Bruges, belonged to one of our few double crews in vehicles with a GVW <18t, which proved crucial for maintaining the pace of the operation.
Within a few dozen minutes, we developed a plan in which both lorries met at agreed time points, and the entire journey was planned to include the Eurotunnel crossing – more expensive, but definitely faster and independent of weather conditions.
Each stage was supervised by our operations team, which coordinated activities with the customer in the UK and the organisers on the German side.
Our drivers, experienced in handling transport for trade fairs and events, where it is often necessary to operate in confined spaces, with a large number of unloading teams and within very precise time frames, played a huge role.
The result
Thanks to immediate response, real-time coordination and the team’s experience, the exhibitor’s equipment arrived at the Munich exhibition centre on time and unloading went smoothly.
The exhibitor was able to start assembling their stand according to schedule and participate in the event without any damage to their image or significant additional costs that could have resulted from the delay.
The UK customer emphasised that our flexibility, speed and full commitment saved his customer’s participation in the trade fair.
